Corporate Receptionist

Manages the company’s main reception area. Greets and directs all visitors, including vendors, clients, job candidates and customers. Ensures completion of paperwork, sign-in and security procedures. Handles special administrative projects, as well as overflow work from department and executive assistants. Performs administrative and office support activities for multiple supervisors. Duties may include fielding and routing telephone calls, word processing, filing, and USPS mail distribution, including all FedEx & UPS duties for corporate location. Extensive Microsoft software skills are required, as well as Internet research abilities and strong communication skills. This role will also be active member and sometime lead committee member for “Events Committee” (holiday parties, picnics, company functions, etc.)

 

  • Greeting Guests/Customers and answering phones
  • Receiving, sorting and delivering mail between corporate and all company locations (this includes magazine distribution)
  • UPS and FedEx responsibilities for Corporate building
  • Ording Supplies/Business cards, etc
  • Events committe member/lead
  • Travel: May need to book some flights, hotels, car service, etc. (for certain executives)
  • Responsible for Vending Machine Accounts/Artic Falls/Coffer companies, etc.
  • Responsible to ensure all conference rooms are stocked with proper tools (calendars, office supplies, clocks have batteries, etc.)
  • May need to order lunches for meetings (large groups), prepare conference rooms for meetings, etc.
  • Responsible for all name plates (cubicles and offices) at Corporate building
  • Approve and submit PR's, PO's and Invoices
  • Monthly birthday celebrations/cakes
  • Food trucks/Mobile Car Wash (during warmer months only)
  • Maintaining phone lists and distribution lists
  • Minimum 2 years’ experience in an office, as an Administrative Assistant or previous receptionist responsibilities. Will also consider customer service background with great organizational skills
  • High School Diploma or G.E.D. equivalent mandatory; some collage preferred (Associate’s degree or higher)
  • Ability to multi-task and prioritize is a must
  • Excellent Computer skills including Microsoft Office Package (Word, Excel, PowerPoint & Outlook)
  • Excellent communication skills both written and verbal
