RESPONSIBILITIES:

  • Answering, screening, and directing calls on a multi-line phone system in a courteous and professional manner.
  • Meeting and greeting all visitors and determining their needs and directs them to the appropriate employee/locations.
  • Opening and routing incoming mail
  • Preparing and forwarding outgoing mail and packages.
  • Performing general clerical duties including filing, photocopying, faxing, and mailing as required.
  • Ordering and maintaining supplies, arranging for equipment maintenance, and keeping the reception area organized.
  • Preparing and maintaining meeting and conference rooms and catering schedules
  • Circulating conference room schedule to appropriate staff.
  • Demonstrating a high level of professionalism in dealing with confidential and sensitive issues.
  • Ability to think, plan, and execute independently on multiple projects simultaneously in an organized fashion.
  • Must have a high degree of integrity to handle sensitive and confidential information.
  • Ability to be flexible, motivated, resourceful, and organized.

 

QUALIFICATIONS:

  • HS Diploma or equivalent plus 3 years of front office administrative experience including multi-line phone
  • Knowledge of customer service, office management and basic bookkeeping procedures
  • Monitor stock and order office supplies
  • MS Outlook, Skype IM, MS Word, and Excel experience required
  • Able to multi-task customer service interactions in person and on the phone in the highest level of customer satisfaction showing positive company reputation
